Who We Are

Arumchan Korea Taekwondo Club ("we", "our", "us") is the data controller for the personal information you provide to us.

We are an affiliated club of British Taekwondo, the National Governing Body for Olympic Taekwondo in the United Kingdom.

What Information We Collect

We may collect and store the following information:

• Name

• Email address

• Phone number

• Date of birth (for age-related classes and competitions)

• Emergency contact details

• Medical information relevant to training

• Membership and grading records

• Booking details for classes, gradings, events and 121 sessions

• Payment information, including Direct Debit details for membership fees

We only collect information that is necessary to run the club safely and effectively.

Medical information is considered special category data under UK data protection law and is collected only where necessary to ensure participant safety.

We never see or store your full card number. Card payments are handled directly by our payment provider, Stripe.

How We Use Your Information

We use your information to:

• Respond to enquiries

• Manage memberships

• Take bookings and collect payments

• Organise classes, gradings and competitions

• Ensure student safety and welfare

• Communicate important club updates

• Meet our safeguarding and insurance obligations

• Comply with British Taekwondo requirements

We do not sell your personal information.

• Contract: to provide training and membership services, and to take bookings and payments

• Legal obligation: for safeguarding, safety, insurance and financial record-keeping requirements

For medical information (special category data), we rely on explicit consent and safeguarding obligations to ensure participant safety.

You may withdraw consent at any time by contacting us.

Sharing Your Information

We may share relevant information with:

• British Taekwondo

• Event or competition organisers

• Insurance providers

• Emergency services (if required)

• The service providers listed below

We only share information that is necessary for the relevant purpose.

Service Providers

We use trusted third-party providers to help us run the club. They only process your information for the purposes described below and are required to keep it secure.

• Ticket Tailor: online booking for events. Ticket Tailor processes your name, email address and booking details on our behalf.

• Stripe: card payments for bookings. Stripe processes your payment details to complete the transaction.

• GoCardless: Direct Debit collection for membership fees. GoCardless processes your name, email address and bank account details to set up and collect payments.

• Squarespace: hosts our website and processes information you submit through our website forms and online shop.

Stripe and GoCardless are regulated payment providers and also use your information for their own purposes, such as preventing fraud and meeting financial regulations. For those purposes, they act as independent data controllers, and their own privacy notices apply:

International Transfers

Some of our service providers may store or process your information outside the UK. When this happens, we rely on appropriate safeguards, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum approved by the ICO.

How We Store Your Data

Your information is stored securely and is only accessed by authorised club officials and the service providers listed above.

We retain personal data for the duration of membership and for a limited period afterwards where necessary to meet legal, safeguarding, and insurance requirements. Payment and financial records are kept for as long as required for accounting and legal purposes.

We keep data only for as long as reasonably necessary for club administration and legal compliance.

Your Rights

Under UK GDPR, you have the right to:

• Request access to your personal data

• Request correction of inaccurate information

• Request deletion of your data (where appropriate)

• Object to certain types of processing

• Withdraw consent where processing is based on consent

Use of Photographs, Video and Promotional Media

We may take and use photographs and video recordings that contain identifiable individuals for promotional purposes, including:

• Display on the Arumchan Korea Taekwondo Club website

• Sharing on official club social media channels

• Inclusion in club news updates and promotional materials

These images and recordings are used to promote club activities, celebrate participation, and support recruitment and engagement.

Lawful basis

We rely on consent as our lawful basis under UK data protection law to process identifiable photographs and video recordings.

Where individuals are under 18, consent will be obtained from a parent or legal guardian.

How long we keep media

We retain photographs and videos for as long as reasonably necessary for the purposes described above. We periodically review media and delete content that is no longer required.

Rights and control

• Request deletion of your personal images or videos from our systems and publications

We will respond within a reasonable timeframe and, where possible, take appropriate steps to remove content from our website and official club social media.

Please note that media already published or shared on third-party platforms may not be fully removable in all cases.

Where we share media

Images and videos will be shared only on official Arumchan Korea Taekwondo Club platforms and will not be disclosed to organisations outside the club without further consent.

Children and minors

We take extra care with media that includes individuals under 18. Consent from a parent or legal guardian will be obtained before publication.
